Brooks AI Policy

Expectations for AI Use in the Hiring Process

At Brooks, one of our core values is Word is Bond: We do what we say we will. We commit to being transparent, consistent, and fair throughout your interview experience, and we ask the same of you.

Your application should reflect who you are: your skills, experience, accomplishments, and perspective.

Please share accurate and truthful information. If you, another person, or a tool such as AI misrepresents your skills, experience, or qualifications, we may disqualify you from the hiring process. If we discover misrepresentation after you accept an offer or begin employment, we may terminate your employment.

Below, we outline how we expect candidates to use AI and how Brooks uses AI during the hiring process. Most importantly, AI never makes hiring decisions; people do.

Using AI in Your Application & Interview Process

Throughout the application and interview process, we want to get to know you by your skills, experiences, and what you want next in your career. We want to understand how your background connects to the role, what you will bring to the team, and why you want to be at Brooks.

We understand that AI is becoming part of how candidates prepare. If you choose to use AI at any stage, please use it thoughtfully and keep the following guidelines in mind. If you need an accommodation or assistive technology at any stage, please connect with your recruiter; we're here to support you.

Application Materials

Resume: You may use AI tools to help with formatting or structure. However, all content must accurately reflect your own skills, experiences, and accomplishments.

Cover Letter: Your cover letter should represent your voice and clearly connect your experience to the role. AI can help with grammar or clarity, but you should reflect your own perspective.

Interviews: We conduct phone and video interviews to better understand your experience, your interest in Brooks, and how you approach your work.

Because these conversations should reflect your thinking and perspective in real time, please do not use AI tools to generate or guide your responses during interviews.

For virtual interviews, please join on camera. To protect confidentiality, do not record or transcribe interviews prior to written approval from Brooks.

Assessments and final projects: Some roles include a final assessment or project. We use these steps to better understand your thinking, creativity, and approach to problem solving.

Unless your recruiter gives you specific guidance that allows AI use, please do not use AI to generate your final submission. Your recruiter will provide clear expectations and guidelines for each step.

How Brooks Uses AI in the Hiring Process

AI tools may support parts of our hiring process, but we prioritize an exceptional candidate experience grounded in human connection.

Where permitted by law, we may use AI in the following ways while keeping people at the center of the process:
  • Job descriptions: Our HR Team may use AI to draft and refine job descriptions for clarity and consistency.
  • Interview Questions: Interviewers may use AI to develop role-specific questions. We aim to ask consistent questions across candidates to create a fair and comparable experience.
  • Note-taking: With your consent, we may use AI tools during interviews to support note-taking so our interviewers can stay fully engaged in the conversation.

We look forward to getting to know you. Please ask your recruiter if you have questions during the interview process.
